Efficient Shift Scheduling for Round-the-Clock Teams
Workforce Management

Efficient Shift Scheduling for Round-the-Clock Teams

Does your company run 24/7, as teams in logistics, healthcare, customer support, F&B, and the manufacturing industry commonly do? Then you already know the pressure of keeping every shift covered without burning people out or making payroll calculation mistakes. Managing multiple shifts across locations and employee groups can become very complicated, fast — unless you’re using the shift scheduler tools to stay on top of it. Why your 24/7 team needs a shift scheduler Round-the-clock teams in 24/7 sectors don’t get downtime — you probably rely on split shifts and overnight teams, as well as deal with constant handovers. Without proper shift planning, you will end up with understaffed shifts and overtime creep, and worse, unhappy employees juggling inconsistent schedules. Tools like Adaptive Pay’s shift scheduler can help you manage and monitor shifts across all your departments without relying on manual spreadsheets or chasing last-minute approvals. How our shift scheduling software works behind the scenes Adaptive Pay’s shift scheduler automates your rosters, syncs time and attendance with payroll, and tracks compliance in the background so you don’t need to second-guess if you’re complying with Singapore’s labour rules. When all of that works together, you can reduce errors and conflicts to ultimately build a more consistent workflow across your teams. Why Adaptive Pay makes shift scheduling easier Adaptive Pay is built for businesses in Singapore that need flexibility and accuracy across their HR stack. It connects your scheduling, attendance, payroll, claims, and leave management into one system so everything flows without duplicate entries or disconnected data. Our shift scheduler can handle fixed shifts, rotating schedules, overtime, and last-minute changes. You can set up custom patterns by team or department and automate shift reminders so that no one gets caught off guard. Payroll-ready from the start Adaptive Pay links directly to your payroll module. It uses real-time attendance and claims data to calculate salaries, overtime, and holiday pay, so there’s no need to double-check records or input anything manually. The system also aligns with Singapore’s CPF and IRAS requirements to make tax season and audits much easier to handle. Full visibility with real-time attendance tracking Need to know where your people are during a shift? Adaptive Pay gives you live tracking with GPS, selfie check-ins, and geofencing. You can limit clock-ins to approved locations and reduce false entries with facial recognition powered by Microsoft Azure. You’ll see who’s checked in, who’s late, and where they are — all in real time. Shift scheduling that works for employees Your staff can check their schedules and apply for shifts, and even clock in directly from their mobile app or desktop if they’re in a remote job site. The interface stays the same: fast, simple, and reliable. You can also set up location-specific QR codes or biometric devices at entry points for added control to make sure that attendance data reflects actual hours worked. Start simplifying your shift planning Are you managing operations across different times and locations? Switch to a shift scheduling system that reduces admin and keeps everyone on the same page. Adaptive Pay gives you the tools to plan your rosters and track attendance in real time, and then sync everything directly to payroll to avoid errors and make everything run smoother from end to end. Singapore Updates Parental and Shared Parental Leave Policies
Leave & Benefits

Singapore Updates Parental and Shared Parental Leave Policies

Singapore has made big changes to parental leave: As of April 2025, fathers now receive more paid time off, and both parents can access a new shared leave scheme. These updates were announced during the 2024 National Day Rally and are being rolled out in two stages: Phase 1 took effect on 1 April 2025, and Phase 2 is set to begin on 1 April 2026. Government paid parental leave (GPPL) Before 1 April 2025, eligible working fathers received 2 weeks of GPPL, with an additional 2 weeks available if their employer agrees (though this was voluntary). As of 1 April 2025, that extra 2 weeks will no longer depend on employer approval — all eligible fathers with Singaporean children born on or after that date will receive 4 weeks of GPPL as a statutory benefit. Employers will still be reimbursed by the government for the full four weeks. This expansion makes it even more important for HR teams to track entitlements accurately. You can use Adaptive Pay’s leave management system to calculate usage and apply the correct eligibility rules, and then match leave records with payroll and compliance needs. New shared parental leave scheme Before April this year, mothers could transfer up to 4 weeks of their 16-week maternity leave to the father. But on 1 April 2025, this system was replaced with a dedicated Shared Parental Leave (SPL) entitlement that’s separate from maternity and paternity leave. This leave is split between both parents and must be used within the first year of the child’s birth. It adds to (rather than replaces) existing GPML and GPPL entitlements. Key details to note Be sure to review and update your leave policies to reflect the new SPL rules to prevent disputes or confusion. Use our leave management system to track each parent’s usage and record approvals in real time. This can give your managers immediate visibility and help employees understand their entitlements. It also keeps your records audit-ready without the back-and-forth. How Adaptive Pay’s leave management system can help you stay on top of this With new parental leave rules already in effect and more changes on the horizon, it’s time to switch from spreadsheets to a reliable leave management system that makes it easier to stay compliant while supporting employees as they manage their entitlements. Adaptive Pay’s leave module is designed to simplify your workflow and make leave tracking easy for both managers and staff. Book a demo to see how our leave management system works.

Best Software to Manage 24-Hour Work Shifts

HR leaders and operations managers know that scheduling around-the-clock shifts isn’t merely about filling in a calendar — it also involves balancing staffing needs and legal compliance while making sure that operations run smoothly and that the staff is not overworked. Challenges like rotating shifts and overlapping hours can complicate things quickly. Manual scheduling tools often create more problems than they solve — they trigger conflicts and cause staffing gaps. Aside from slowing things down, these also hurt team morale and contribute to absenteeism or turnover, especially if workers feel the system is unfair or inconsistent. That’s why more businesses are moving toward an automated shift scheduler like Adaptive Pay. What shift scheduling software can do With a shift scheduler, HR teams can automate and simplify the process of managing work shifts, making it especially helpful in industries that operate 24/7. Using these tools makes it easier to ensure full shift coverage while improving workforce efficiency and supporting employee well-being. To get the most value from your system, make sure the shift scheduling software has the following features: You can reduce the risks of under- or over-scheduling with the right system in place and maintain a healthier, more efficient work environment overall. Understanding Payroll Laws in Singapore in 2025
Payroll & Compliance

Understanding Payroll Laws in Singapore in 2025

More than logging hours and sending out paychecks, handling payroll in Singapore is really about meeting statutory requirements and avoiding compliance risks. This can get complicated fast, so small teams often find themselves buried in CPF contributions, regulatory updates, and detailed calculations. And as employment laws shift, staying accurate and compliant takes more time — and more attention — than most businesses expect. How do you keep up without falling behind? To help your business get started, we’ve put together a practical guide that outlines the key rules of payroll processing in Singapore — and how the best software for payroll can make the process more efficient and compliant. Key Takeaways • Payroll compliance in Singapore involves more than salary payments—it includes CPF contributions, overtime, statutory record keeping, and timely salary payments.• Employers must follow the Employment Act when processing payroll and maintaining employment records.• Understanding payroll regulations helps businesses reduce compliance risks and payroll errors.• Payroll software can automate calculations, maintain records, and simplify compliance with Singapore employment regulations. What “payroll” mean for companies in Singapore In Singapore, payroll refers to the system used to compensate employees for their work. It covers everything from basic wages and overtime to allowances and bonuses. On top of that, employers must also manage statutory contributions like the Central Provident Fund (CPF) and other legally required payments. Following Singapore’s employment regulations is not optional. Employers need to maintain proper records and ensure payments are made on time to avoid penalties and maintain staff trust. The best software for payroll can help with that. Salary structure and legal definitions What qualifies as a salary? Singaporean employment law treats “salary” and “wage” as interchangeable. A salary refers to the compensation employees receive under their contract of service. It is the payment agreed upon for the work they perform. What’s included in a salary? A typical salary package may include: What is NOT considered salary? The following items are excluded from the legal definition of salary: These are viewed as additional benefits rather than part of the core pay structure. Payroll compliance essentials for employers Managing payroll demands greater precision as an organisation grows, making it more necessary to use the best software for payroll. Singapore’s labour regulations require companies to pay attention to several key factors: Smart payroll systems like Adaptive Pay can simplify these tasks by automating calculations and maintaining compliance records, so your HR team can focus on strategic initiatives rather than manual tracking. Salary payment frequency in Singapore Under the Employment Act, employers must pay their employees at least once a month, and no later than seven days after the end of the salary period. While monthly payments are the minimum standard, employers may pay more frequently, such as every two weeks, if it fits their business operations. Overtime wages must be paid within 14 days after the close of the salary period. Special rules apply when an employee leaves the company: If the employee resigns with proper notice, the final salary should be paid on the last day of work. In cases of dismissal due to misconduct or sudden contract termination, the final salary must be paid on the last day of employment, or within three working days if same-day payment isn’t possible. Payment is due within seven days from the last working day if the employee resigns without serving the notice period. No national minimum wage—but progressive wage models exist Singapore does not enforce a national minimum wage across all sectors. Instead, wages are typically decided through direct agreements between employers and employees, or through union negotiations where applicable. That said, certain sectors—including cleaning and security—are covered by Progressive Wage Models. These frameworks set minimum wage levels and link pay increases to skills and productivity, offering a structured path for wage growth in specific industries. Understanding overtime pay Employees who work beyond their contractual hours are generally entitled to overtime compensation, depending on their role and salary level. Eligibility for overtime pay includes: Overtime pay is usually calculated at 1.5 times the employee’s hourly basic rate, applying to each hour worked beyond normal contractual hours, excluding rest breaks. Employers can use the Ministry of Manpower’s Overtime Calculator to determine the accurate payout. Keep accurate records Since April 1, 2016, all employers covered under the Employment Act must keep proper records of employment and salary details. These records increase legal compliance and provide transparency in compensation practices. You can simplify that requirement with the best software for payroll. Tools like Adaptive Pay make it easier to stay organised and compliant by automating record-keeping alongside payroll processing. Avoid These Payroll Mistakes That Could Cost Your Business
Payroll & Compliance

Avoid These Payroll Mistakes That Could Cost Your Business

Payroll errors create back-office headaches — but worse than that, they lead to compliance violations and legal trouble. You may even lose the trust of employees and damage how clients and the public perceive your business. Such mistakes often stem from manual processes and outdated systems that make record-keeping inconsistent and prone to human errors. HRMS payroll software can prevent these problems before they start. Here are six common payroll mistakes — and how the right software can help you avoid them. 1. Miscalculating CPF contributions Singapore’s CPF system requires accurate employer and employee contributions based on variables such as the employee’s age, salary, and residency. Manual calculations can easily go wrong, especially if your workforce is growing and becoming more diverse. Mistakes in CPF account allocations or missed deadlines for payment can result in penalties. HRMS payroll software can automatically apply the correct rates, allocate contributions to the proper CPF accounts, and generate submission files in the approved format to solve this issue. It also updates regularly to reflect new CPF policies so that you can stay compliant without extra admin. 2. Errors in income tax deductions Incorrect income tax deductions often come from using outdated IRAS rates, or misinterpreting tax reliefs, as well as failing to factor in variable pay elements like bonuses or benefits-in-kind. These mistakes can lead to underpayment or overpayment of taxes — both of which create problems for employers and staff. Payroll software uses current IRAS tax rates and brackets to calculate the correct deductions automatically. It factors in employee-specific reliefs and taxable components to ensure accuracy from the start. 3. Poor payroll record-keeping Missing or incomplete records can get you in trouble during audits or inspections. Failing to track working hours, overtime, leave, or CPF and tax contributions also makes it hard to verify payroll accuracy or defend against disputes. HRMS payroll software makes it so much easier to keep a secure digital archive of every payroll transaction. The system logs all changes with audit trails and maintains records for the legally required period so that you’re always prepared. 4. Misclassifying employees Getting an employee’s classification wrong (full-time, part-time, or contract ) may result in serious issues: underpaying CPF, misapplying benefits, or violating employment laws under the Singapore Employment Act. Payroll software allows you to classify employees clearly from the start. Once assigned, the system automatically applies the correct rules for CPF, leave, and other entitlements to remove guesswork and help you avoid compliance mistakes. 5. Incorrect overtime pay Singapore’s Employment Act requires specific rates and limits for overtime pay. Manual missteps — like using the wrong base rate or missing eligible allowances — can lead you to accidentally underpay staff, which creates both financial and legal risk. When paired with a time-tracking system, HRMS payroll software calculates overtime accurately using real-time attendance data and correct hourly rates. It also includes allowances where required by law, so you meet every regulation. 6. Late salary payments Delays in payroll processing can cause financial strain for employees who rely on their salaries, ultimately eroding morale. Salaries must be paid promptly after each pay cycle under the Employment Act. Payroll software can automate your salary disbursements according to set schedules and integrate with bank systems to process payments on time. This can go a long way in reducing the risk of delays and giving employees confidence in your processes. Fix payroll issues with the right solution Each of these mistakes can cost your business both financially and reputationally. The good news? You can avoid them all with the right tools. Adaptive Pay’s HRMS payroll software gives you everything you need: automated calculations, compliance updates, audit-ready records, and seamless bank integrations. Leave & Benefits

Understanding Rest Days: A Comprehensive Guide for Employers in Singapore

Rest days are crucial for maintaining a healthy and productive workforce. As an employer, it’s your responsibility to properly implement this mandate to demonstrate your commitment to employee well-being while ensuring that your team remains motivated and focused. Adaptive Pay can help you manage rest days, leave applications, approvals, and related tasks. This automated leave management system and leave app can deliver convenience and efficiency, especially when integrated with attendance management systems and payroll modules. What does the Ministry of Manpower (MoM) say about rest days?  MoM requires employers to provide their employees with at least one full 24-hour rest day per week. This rest day should ideally follow a regular work schedule. These rest days are not paid. For shift workers, MOM offers some flexibility. Employers are mandated to provide their employees with a 30-hour rest period that starts before 6 pm on Sunday, which can be considered their weekly rest day. This 30-hour rest period can even extend into Monday. The difference between rest days and off days Rest Day Off Day Statutory entitlement for eligible employees Company-designated non-working day Governed by the Employment Act Governed by company policy or employment contract Working on a rest day may require additional pay Payment depends on company policy and employment terms Used for employee rest and recovery May include scheduled days off, leave, or public holidays Determining rest days  In Singapore, employers possess the discretion to select the rest day for their employees, traditionally observed on Sundays but flexible to any chosen day. Adaptive Pay offers a leave app with an attendance module, facilitating employees in effortlessly tracking their designated rest day schedules via their phone or browser. To ensure smooth scheduling and employee awareness, clear communication of rest days is crucial, especially for companies that have non-Sunday rest days. Using a leave management system like Adaptive Pay can help in this regard. It allows employers to create a monthly roster that outlines each employee’s designated rest days for the entire month. This roster can be distributed to employees at the beginning of each month.  Things employers must know about rest days  You can ask your employees to work on their rest day, but only under specific circumstances. In any case, remember that rest is important for their productivity and well-being. Rest day work requires additional compensation. You cannot offer time off in lieu of pay. Rest day pay follows the guidelines set out in Part IV of the Employment Act. However, executives and managers are not covered by this law. Their eligibility for rest day pay is determined by their individual employment contracts. If Sunday is a regular work day and the employee’s rest day falls on a weekday, they receive their standard basic pay rate according to their contract (not rest day pay). Employees qualify for rest day pay if they receive a monthly basic salary of $4,500 or less (workman) or a monthly basic salary of $2,600 or less (non-workman).  Streamline rest day management with Adaptive Pay. Managing rest day schedules and calculating the corresponding pay can be complex. Miscalculations can lead to payroll headaches and employee dissatisfaction. Adaptive Pay can help. Our comprehensive HR solution goes beyond a simple leave app. It integrates seamlessly with your existing attendance management system to ensure accurate payroll tracking and rest day calculations. Frequently Asked Questions 1. What is a statutory rest day in Singapore? A statutory rest day is a full day of rest that eligible employees are entitled to each week under the Employment Act. 2. Can employers choose which day is the rest day? Yes. Employers may designate any day of the week as the employee’s rest day, provided it complies with the Employment Act and employment terms. 3. Is Sunday always a rest day? No. While many businesses use Sunday as the rest day, employers may assign another day depending on operational requirements. 4.
